When should a company move to a B2B system?
When quotes, orders, pricing, and dealer operations can no longer scale through email, a B2B portal becomes operational infrastructure.

A company does not need to reach a fixed number of employees or customers before adopting a B2B system. The real signal is that account pricing, quotes, orders, and payment rules have become scattered across email, phone calls, and spreadsheets.
A B2B system combines the customer-facing side of business sales with the rules behind it. A customer signs in, sees the products and prices assigned to the account, and places an order without the sales team retyping the same record elsewhere.
Signals that it is time to move
- The same product is sold under different account prices or discount rules.
- Orders arrive through email, messaging, and phone calls, then get entered into the ERP again.
- Customers repeatedly ask the sales team for stock, delivery, or order status.
- Dealer hierarchy, credit terms, quotas, and approvals depend on individual memory.
- Corrections caused by the wrong product, price, or delivery information are increasing.
When is a packaged B2B product enough?
A packaged solution may be enough when catalogue, pricing, payment, and delivery rules are standard. Bespoke dealer hierarchies, quote flows, production planning, or multiple system integrations require a careful assessment of customization limits.
What the technical system must contain
A sound B2B architecture is more than a catalogue behind a login. Identity and permissions, account pricing, order records, audit history, notifications, and failure handling are designed together. ERP and accounting integrations must explicitly state which system may change each record.
The first release does not need every feature. Start with the most repeated transaction, such as creating and tracking an order. Add quotes, payments, dealer performance, or support after real usage has been measured.
Four questions before deciding
- How many times and by how many people is one order retyped?
- What does an incorrectly applied account rule cost?
- Which information does the customer need without calling sales?
- Which record is authoritative across ERP, CRM, and accounting?
