How is custom software cost estimated?

Screen count alone does not explain the price. Compare proposals through business rules, integration, data migration, and ongoing maintenance.

Custom software cost depends on the work being implemented, connections to existing systems, data migration, and responsibilities after delivery. A price based only on screen count can leave significant work unaccounted for. A useful proposal explains the assumptions behind its estimate.

Why can two similar interfaces cost different amounts?

Consider an order screen. One business needs a product, a quantity, and a saved order. Another needs account pricing, dealer quotas, manager approval, and an ERP stock check. The interfaces may look similar, but the second project contains more rules, connections, and failure cases. Those differences create development and testing work.

Six areas that shape the budget

  • Discovery: Current workflows, release boundaries, and acceptance criteria.
  • Business rules: Roles, approvals, exceptions, and change history.
  • Integration: ERP, accounting, payment, or other services, including access to test environments.
  • Migration: Cleaning existing records, mapping fields, and validating the result.
  • Quality and launch: Security checks, load testing, user training, and transition planning.
  • Operations: Hosting, licences, backups, monitoring, maintenance, and future development.

Separate implementation from ongoing costs

Ask what costs continue after delivery. Per-user licences, external services, and storage may change as usage grows. Compare proposals using the same usage assumptions and time period. If one includes training and migration while another charges separately, the headline prices do not describe the same scope.

How a smaller first release can help

A dealer portal might start with ordering, account pricing, and ERP transfer. Campaign management and advanced dealer reports can follow after the core workflow has been tested with real users. Permissions, backups, and duplicate-order prevention are essential controls; they should not be treated as decorative extras.

  • Three concrete problems and the current workflow.
  • User roles, approximate transaction volume, and peak periods.
  • Systems to connect and available technical documentation.
  • An anonymized sample record and an exception case.
  • Essential first-release features, the target date, and budget constraints.

Can you get a fixed price at the first meeting?

A fixed price can work when scope is clear and uncertainty is low. If legacy connectivity, data quality, or business rules have not been examined, an initial figure is an estimate. The proposal should explain which unknowns may change that figure and how the discovery work will resolve them.
